Personal Assistant, Board Level - City, £30,000 - £35,000
A senior level Personal Assistant is required for an established insurance company based in the heart of the city to support a Team Leader and team within their marine division.
The personal assistant will be required to provide a high level of secretarial support the Team Leader who is also a member of the Executive Board therefore experience and knowledge within the Insurance industry is a must.
Duties include:
Ensure, where appropriate, the requirements of external legislation and regulations (e.g. FSA, Lloyd's legislation, Money Laundering/Proceeds of Crime, Data Protection, Health & Safety), company best practice and other general business compliance procedures are adhered to at all times
Promote Miller brand and values to enhance Miller's reputation with external contacts
Deal with all correspondence and enquires, often of highly sensitive or confidential nature, either responding on behalf of the Directors, or filter as appropriate
Planning and scheduling meetings at Board level, both internal and external
Acts independently, doing research on own initiative
Book rooms for meetings and arrange for catering
Maintain diary systems, chasing action points on behalf of Directors
Take minutes of meetings as and when required
Liaise with all other, internal and external contacts
Reconcile monthly expenses
Organise travel arrangements for personnel in the Business Unit
Be involved in arranging itineraries for overseas clients
Prepare and present documents using a variety of media
Assist in the arrangement and co-ordination of presentations
Maintaining accurate records and filing systems
Supply details of visitors to reception
Meet and greet visitors
Provide secretarial, administrative and ad hoc support to the Directors of the Business Unit as required
Open post and distribute to the team on a regular basis
Answering telephones, on behalf of the team and taking concise messages
Participate in doing research.
The personal experience must be highly organised, self motivated with very adaptable communication skills and have worked at a senior level within the insurance industry previously.
Advanced knowledge of all Microsoft packages and a typing speed of 60wpm is also desirable.
